The animation shows three scenes. First, one message from Front Office is delivered simultaneously to six departments, automatically translated into each recipient's language, read by everyone, and turned into a task for Maintenance. Then an employee asks Lucy about parental leave and gets an answer grounded in the staff handbook and the collective agreement, with sources. Finally, a shift report is compiled automatically, published to four readers, and one open item is carried over as a task to the next shift.

The method is the same as in retail, but the starting point is different. A hotel is not a store: the work is split across departments and shifts, information has to reach people who rarely sit at a desk, and routines differ from property to property. So we always start by understanding how your operation actually works, configure Lucy around it, and stay until the new way of working is the normal one.
Map how the property actually works today.
Every property has its own routines, and they rarely show up on an org chart. We start by mapping how the work actually gets done: which departments exist, who reports to whom, what reporting routines you have today and when during the day they happen. What gets handed over between shifts? What sits in a binder, in a group chat, or in the head of one experienced employee? The output is a shared picture of how information moves through the property — and where it stops.
Configure Lucy around your processes — and train everyone to use it.
We configure Lucy to support the processes we've just mapped: departments, channels, reporting lines and permissions mirror how you are actually organised. Then we fill it with content — instructions, routines, and the knowledge that today sits with only a few people. Finally we train everyone individually. Each person gets to ask their own questions, right down to how to install the app on their phone. That step is decisive in hospitality, where many work shifts, without a fixed desk, and often in a different language from their manager.
Follow up, and keep the answers where the work happens.
What decides whether a change holds is what happens after launch. We follow up on how Lucy is used, department by department, and adjust what isn't working. Support lives inside the app, in the same place as the rest of the work, so anyone with a question gets an answer straight away instead of hunting down someone who might be off shift. The goal is that nobody should have to wait until the next shift to learn something they need now.
